When Do You Need an Apostille Instead of Authentication?

If you’re dealing with international documents, you may hear two terms: apostille and authentication. While they sound similar, they are used in different situations.

Using the wrong process can delay your documents or cause them to be rejected, so it’s important to understand the difference.

What Is an Apostille?

An apostille is a certification issued by the State of Florida that verifies your document for use in another country.

It is used when the receiving country is part of the Hague Apostille Convention.

With an apostille:

  • The document is accepted internationally

  • No additional embassy or consulate steps are required

What Is Authentication?

Authentication is a different process used when the receiving country is not part of the Hague Apostille Convention.

In these cases, the document must go through multiple steps, which may include:

  • State-level certification

  • Federal authentication

  • Embassy or consulate legalization

This process is more complex and typically takes longer.

How to Know Which One You Need

The key factor is the country where your document will be used.

  • If the country is part of the Hague Convention → you need an apostille

  • If the country is not part of the convention → you need authentication

Choosing the wrong process can result in:

  • Rejected documents

  • Additional fees

  • Restarting the process

Why This Matters for Timing

The apostille process is generally faster and simpler than authentication.

However, even apostilles can take 6 weeks or more through the state if handled incorrectly.

Authentication can take even longer due to additional steps.

A Faster and Simpler Approach

Instead of trying to figure out the correct process on your own, many clients choose a more reliable option.

We simplify the process by:

  • Reviewing your documents and destination country

  • Confirming whether apostille or authentication is required

  • Helping prevent delays and errors

For apostille services, our typical turnaround time is 10 business days or less, much faster than standard processing.

All completed documents are returned using FedEx with a tracking number, so you always know where your documents are.
